TENDER FOR AIR INDIA CABIN CREW HOTEL ACCOMMODATION AT DAMMAM –
2009

It is proposed to provide
accommodation to the crew of National Aviation Company of India Ltd. (NACIL)
in Four Star or equivalent hotels during layover at Dammam tentatively 1st week
of February 2009 onwards.
1. NACIL
requirement is approximately seven rooms per day for the accommodation of Cabin
Crew. This may increase/decrease depending
on the pattern of operations and the type of aircraft.
2. The hotel
is required to bid for the total room requirement. In case the hotel is not able to bid for the total room
requirement for whatever reasons, the hotel may indicate the maximum rooms the
hotel can provide to NACIL for crew layover accommodation. NACIL may at its discretion, accommodate
crew in more than one hotel in case one hotel is unable to provide all the
rooms required.
3. Air India
will be billed on the actual rooms utilized on 24-hours check out basis.
4. Pattern
of operations will be given to the hotel at the time signing the contract and
in case of reduction/increase of rooms, NACIL will advise the hotel suitably.
5. Complementary
services to be provided by Hotel –
1- A fruit
basket on arrival,
2- 2-5 free
local calls,
3- 1.5 liter
of Mineral water bottle per day,
4- Club
facilities on complimentary basis for crew,
5- Exclusive
crew lounge if any,
6- Complimentary
facility of making tea/coffee in the room,
7- Handling
of cash float for disbursement of allowances without any additional
charges.
6. Room
& Breakfast charges
- The quotes for the room should be bed and breakfast
basis. However, bed and breakfast
charges should be specified the details giving breakdown of the room rate plus
taxes (if applicable) and breakfast charges plus taxes (if applicable).
7. Porterage
Services - All crew baggage shall be
collected from the crew transport on arrival and delivered to the rooms and
collected from the rooms to the crew transport during departure.
8. Laundry Facility - The
hotel should indicate the availability of Laundry/pressing facility and
laundry/pressing of one set of uniform to be given complimentary per stay as
per the package.
9. Crew
Transportation – The hotel will arrange
transportation for pick up and drop for the crew from Airport to Hotel and vice
versa as complimentary part of package.
10. Cash
Float - Allowances to be disbursed to Crew members in cash in
local currency/USD without any additional charges to NACIL. A deposit will be maintained with the hotel
by Air India and reimbursed on a fortnightly basis as per the requirement.
11. The
Health Club - Should
be adequately equipped with the latest equipment and should be made available
to the crew on a complimentary basis.
12. Contract
Period -
a) The contract
shall be at least for a period of one year and/or two years and/or three years
with exit clause.
b) The
contract period could be extended for a further period of one year on the same
rates, terms and conditions if mutually agreed with an exit clause.
13. Exit
Clause -
a) The
agreement can be terminated with 30 days notice assigning valid reasons by
either party.
b) Unless
both the parties have mutually agreed for an extension, the contract stands
automatically terminated on its expiry date and no notice of termination will
be required.
14. Terms of Payments - Bills will be made monthly on actual
occupancy basis of the crew. Invoices
would be submitted to NACIL’s local Accounts Department and will be settled
after due verification within 30 days from the date of receipt of the bills.
15. Force Majeure - NACIL will be exempted from obligations if
prompt notification is given in the event of suspension of
flights/operations to the station, change in Crew layover pattern,
circumstances or causes beyond the control of either of the parties.
16. Mode of Submission of Tender - The Tender should be submitted in a Two
Bid System i.e. in two separate sealed envelopes as follows:
Envelope
No. I - Contain the
Technical Bid duly super-scribed as “Technical Bid” and Name of the
hotel. It may please be noted that
any mention of financial details in this envelope will render the offer
invalid.
Envelope
No. II - Containing the
Financial Bid in the prescribed format, duly super-scribed as “Financial Bid” and name of the
hotel.
The above
arrangement is necessary as these two separate sealed envelopes will be opened
at two different times.
Both
these sealed envelopes i.e. Envelope No. I and Envelope No. II should be placed
in a single large sealed envelope, duly super-scribing NAME OF HOTEL and TENDER
FOR CABIN CREW LAYOVER ACCOMMODATION AT DAMMAM.
This
envelope should then be submitted to Manager-Eastern Saudi Arabia, NACIL (Air India Ltd.), 1st Floor
Airline Centre, King Abdulaziz Street, Al-Khobar on or before 20th
January 2009 by 1600 hours.
17. In case
of any deviation in submitting the quotes as prescribed or any overwriting or
incomplete tenders, the quotations will be rejected.
18. NACIL
reserve all the rights to cancel or not to process tender at any stage without
assigning any reason whatsoever.
